FAQ

  • How many guests can I bring?

    The maximum number of guests allowed is 150. Final guest count must be provided to Event Manager 30 days prior to event.

  • Is Gathering Ground Retreat off-grid?

    GGR is an all-outdoor, off-grid venue. Access to power is limited to solar-powered lighting and equipment that runs on portable power stations, batteries or solar power.

  • Do you offer any indoor spaces?

    The event space at GGR is ALL Outdoors. The Glampsite offers two 16’ glamping tents and a shaded gazebo. Additional covered spaces can be created with the rental of event tents (guest must coordinate, not included in site fee). This is required for events that occur in the rainy season (Nov-April). See the preferred vendor list for suggested tent rental options.

  • Are shuttles required?

    Yes! Depending on your guest count. Because we are located on a mountain road, for the interest of your safety and respect for our neighbors, we do require shuttles. We can only accommodate (10) vehicles onsite and this includes vendors. Any additional vehicles will result in a parking fee. Our site does not allow access for tour buses or other extra large vehicles. Options for local shuttle service providers are included on our Preferred Vendor List.

  • What is the terrain and access like?

    As an all-outdoor venue, the access to the ceremony sites and glampsite is over gravel pathways and natural terrain with changes in elevation. Guests are advised to wear good walking shoes (think flats and boots). Heels and tall wedges will not be a good choice.

    Our ceremony sites are handicap accessible with the use of motorized scooters, however, using wheelchairs and wheeled walkers will not be possible.

  • When does the rental period start and end?

    The rental period begins at 8am on the day prior to the event. You have from 8am-7:30pm to set up and do any rehearsals or photoshoots on site. On the day of the event, you have from 8am-10pm. Cleanup can occur on the day following from 8am to 2pm.

  • Can we leave anything overnight?

    Things like tables, chairs, decorations & linens may be left overnight if secured from wind and rain. No food may be left overnight. There is no cold storage available onsite.

  • Is a day-of coordinator required?

    Yes! A day-of-coordinator is required and MUST be approved through GGR.

  • Will a representative of Gathering Ground Retreat be on-iste during my event?

    Yes, our event manager will be present during the entirety of the event to help manage and oversee the flow of the day. This does not qualify as a wedding coordinator. A coordinator will still need to be contracted for the day.

  • Do you allow use of microphones or amplified music?

    We offer a portable speaker system with two microphones. With limited power available, most music will need to be acoustic. Refer of the Preferred Vendor List for local musicians we recommend. We do not allow loud music or amplification. Excess volume may result in an extra fee.

  • Are ride-share services allowed at GGR?

    No, we are too remote for ride share services and want to respect the peace of our local neighbors. All guests must arrive and depart by shuttle.

  • Does the venue have quiet hours?

    Yes, all amplified noise must be turned off by 10pm sharp. No exceptions!

  • Do you include trash removal?

    Yes, our fees are inclusive of trash removal. Catering and vendors must still bus the event and leave all trash in the designated trash bin area and our team will remove trash off-site.

  • Do you allow pets?

    No, we do not allow any pets.

  • Is smoking permitted?

    Smoking is only allowed in designated smoking areas.

  • Are campfires allowed?

    Because we are in an area of extreme fire danger, absolutely NO FIRES are permitted onsite during our Burn Ban season (May - October).

  • Does the venue have water access?

    Access to water is limited to an outdoor sink that can be used for hand washing and light dish washing.

  • Are there bathrooms on-site?

    Rental of port-a-potties to accommodate the entire guest count is required for all events. Rental company MUST come from our Preferred Vendors List.

  • Is your site fee all-inclusive?

    Our site fee includes many things (see our wedding & event page) but it does not include sales tax, the cost of add-ons, alcohol, bar ingredients, servings staff or gratuities. Additional Fees will be billed separately and can be viewed in your online quotes.

  • How do we schedule a tour?

  • What is the deposit to reserve a date and the payment schedule?

    We require 25% down to reserve your date. Payments are considered non-refundable with the remaining payments due at 6-months, 3-months, 30-days prior to event. Any late payments will result in interest or cancellation at the owners’ discretion. If date is canceled less than 30 days prior, full balance is due.

  • What is the security/damage deposit?

    We require a payment of $1,000 14 days in advance. This will be returned upon check-out unless there are any damages found or waste left behind in undesignated areas. Also any noise violations will also result in the loss of your security deposit. Please be sure vendors read & sign their vendor guidelines so they can also be held accountable.

  • Is insurance required for clients and vendors?

    Yes, we require all vendors and clients to carry general liability insurance.

  • Is Alcohol Allowed?

    A champagne toast is allowed. Hosted/Complimentary Bar service is allowed with a licensed and insured bartender, approved by GGR 30 days in advance. Cash bars are not allowed.
